Visit us at packaging.toppan.com Summary Description While reporting to the Plant HR Manager, the HR Coordinator will be responsible for coordinating and applying the company’s human resources policies, procedures and local human resources tasks. The primary focus of this position will be on supporting hourly payroll, hourly recruiting/orientation, employee engagement, training and retention initiatives. You must possess the ability to maintain a flawless level of confidentiality supporting a plant size of approximately 200 employees. What You’ll Be Doing
- Assist in the administration of company/plant policies and procedures
- Support hourly payroll functions in UKG to include bi-weekly payroll and reconcile payroll records as required. Communicate promptly to Payroll any changes in personnel status.
- Supporting new employee orientations, reviewing HR related subjects, policies, procedures, and benefits.
- Ensure documentation and tasks associated with new hire process are executed timely. Follow up as necessary to ensure appropriate paperwork is on file.
- Coordinating annual bio-metric screenings
- Perform various plant HR administration responsibilities to include coordinating the ordering of employee uniforms, maintaining HR records & hourly personnel files, preparing new hire orientation materials, leave/absence requests.
- Manage employee badges (issuance and deactivation)
- Manage company-issued personal lockers.
- Assist with plant HR audits and checks to include timecard punches, attendance, and vacation schedules.
- Track attendance/absence points for hourly employees and report out accordingly.
- Support the plant HR and leadership team with hourly corrective action documentation to include various levels of disciplinary actions.
- Partner with CSD Pillar team to ensure training files are maintained for all hourly employees
- Comply with all company policies and procedures
- Support and address employee questions on various HR related situations and requests to include time off and leave related request.
- Track hourly employee leaves to include shift changes/ health assessments/ FMLA, Short- and Long-Term Disability
- Attend and participate in various plant HR and corporate HR Field team trainings and meetings
- Partner with the Plant HR Manager to resolve payroll discrepancies to include entering and tracking Blue Angle tickets
- Participate in daily plant safety hour/GEMA Walks
- Request and coordinate temporary labor through VNDLY as needed
- Generate OT reports i.e. Maintenance, temp reports, payroll reconciliation, when requested
- Data entry for hourly within Workday (pay increases, manager changes, shift changes)
- Schedule interviews/assessments with appropriate plant personnel
- Ensure plant job openings are properly advertised within the plant
- Ensure hourly employee documentation is on file
- Complete new I-9 / E-Verify verifications through E-Verify website
- Support the plant HR team with preparing attendance/absences forms/documentation.
- Support the plant HR team with performing pre-employment and random drug testing process
- Be willing and able to modify, create, and keep track of all processes related to this role
- Support community and employee engagement activities.
- Support various new hire and retention initiatives

- We prefer at least an Associate degree in Human Resources or Business-related field but will substitute experience for degree.
- We prefer a minimum of 3 years’ experience in Human Resources or Business Administration in a manufacturing/industrial environment.
- Must have a work ethic to get tasks completed with urgency and have a high level of integrity, confidentiality, trust and ethical standards
- Must have above average communication skills (written & verbal)
- Must be able to work independently and manage multiple tasks simultaneously on a regular basis
- To succeed in this role, you will need excellent written and verbal communication skills
